Processing of personal data in connection with the use of the E-Care website

While maintaining professional confidentiality and the right to data protection, the Neuropsychiatric Hospital Center (hereinafter “CHNP”) and its entire staff attach great importance to the confidentiality and protection of your personal data in compliance with applicable regulations.

This privacy policy (hereinafter “Policy”) is intended to inform you how your data is collected, processed and secured as part of your use and navigation on the “e-care.rehaklinik.lu” website (hereinafter “Website”).

This policy, which is accessible to all users of the website, is regularly updated to take account of legal and regulatory changes. We therefore recommend that you read them regularly.

Responsible for data processing

The Neuropsychiatric Hospital Center (CHNP), based at 17 Avenue des Alliés, L-9012 Ettelbruck, is responsible for processing the personal data of users of the website.

Scope of application

This policy applies to the website and its communication tools. However, it does not apply to third-party websites, even if they are referenced on the CHNP platforms.

It also applies to all media (paper, electronic, software, etc.) that contain personal data and are created or processed by CHNP in connection with the use of the website.

1. Navigation and cookies

The CHNP provides this website for informational purposes. When you visit the website, CHNP may collect navigation data and usage statistics. (See our cookie policy).

2. Managing the newsletter

The CHNP offers a newsletter to inform interested people about events, article publications and news related to Long Covid. Registration is online. An email service is used to process shipments.

a) Purpose of processing

The CHNP collects your information to sign up for the newsletter in order for you to:

  • to send updates, articles and news about Long Covid
  • to provide information about current research,
  • Share events and initiatives in this area.

b) Categories of processed data

  • email address
  • First and last name

c) Storage period

The data is stored as long as you subscribe to the newsletter. If you unsubscribe, proof of your consent will be retained for five years.

d) Legal basis of processing

The processing of personal data by CHNP in connection with the newsletter is based on your consent (Article 6 paragraph 1 letter a GDPR). You can withdraw your consent at any time.

e) Unsubscribe

Subscribers can unsubscribe at any time by clicking on the unsubscribe link in every newsletter email or by contacting CHNP's data protection officer.

f) Recipients of the data

Processing is carried out by authorized members of CHNP and Kaiwa Studio, Freiburg, Germany, which acts as contract processor.

g) Safety measures

The CHNP uses technical and organizational security measures to protect data against loss, destruction, unauthorized access or manipulation.

h) Rights of data subjects

Data subjects have the right to:

  • access, correction and deletion of their data,
  • restriction of processing or objection for legitimate reasons,
  • data portability,
  • withdrawal of consent,
  • Complaint to the data protection authority (www.cnpd.lu).

3. Managing the contact form

The CHNP provides a contact form to send inquiries or suggestions for improvement.

a) Purpose of processing

The CHNP collects your data to answer your inquiries.

b) Categories of processed data

  • First and last name
  • email address
  • Information provided voluntarily

c) Storage period

The data will be stored for three years after the request has been completed.

d) Legal basis of processing

Processing is based on consent (Article 6 paragraph 1 letter a GDPR). This can be withdrawn at any time.

e) Safety measures

Only authorized persons have access under strict confidentiality obligations.

4. Reports and publications

The CHNP may publish content from third-party providers that share their experiences and information about Long Covid.

a) Purpose of processing

  • Publishing and moderating contributions
  • Communication with contributors
  • Safety and abuse prevention
  • Distribution via YouTube and Spotify

b) Categories of processed data

  • Name or pseudonym
  • email address
  • Submitted content (texts, images, videos)

c) Storage period

The data is stored for five years.

d) International data transfer

By using YouTube and Spotify, data can be transferred outside the EU, in particular to the USA. Users should consult the privacy policies of these platforms.

e) Rights of data subjects

Data subjects have the same rights as mentioned above and can contact the data protection officer.
